Speculative Application - Secretaries & Word Processing Operators

Ongoing secretarial/PA support is provided to each fee-earning unit and the Firm also has a dedicated Word Processing team to provide high-level document support.

Secretarial Applications (hours of work 9am to 5.30pm with some overtime required)

Responsibilities include:

  • To produce high quality documentation from digital dictation and hand-written drafts as required
  • To organise the content and distribution of client documentation
  • To manage and update fee earners' calendars and diaries promptly and efficiently
  • To liaise with internal and external clients as necessary
  • To assist with practical arrangements in relation to meetings and conferences
  • To maintain client contact details
  • To produce client invoices (monthly, quarterly and yearly)
  • To ensure that documents are filed regularly and accurately on a daily basis


  • Excellent computer skills, Advanced Microsoft Word and MS Outlook (preferably Office 2016)
  • Fast accurate typing and extensive experience of audiotyping (65 wpm)
  • Good working knowledge of Excel & Powerpoint (previous experience of document management & billing systems an advantage)
  • Minimum of 3 years experience in a corporate/commercial environment (legal, accountancy or financial an advantage)
  • Proven ability to manage a demanding workload effectively and to prioritize appropriately
  • Excellent interpersonal & written communication skills
  • Ability to work as part of a team, to use initiative and to stay calm under pressure
  • Flexible approach to work

Word Processing Applications (hours of work either 7am to 2.30pm or 1.15pm to 9pm with significant overtime required)

Key duties are to produce high quality documentation from tapes and hand-written drafts and to edit, compare and/or reformat complex documents.

Applicants should have:

  • Advanced Microsoft Word (preferably 2016) to include tables, indexes, table of contents, footnotes/endnotes, headers/footers, outline numbering
  • Fast accurate typing (minimum typing speed of 70 w.p.m.)
  • Excellent knowledge with Microsoft Excel and PowerPoint
  • Previous exposure to document comparison packages
  • Experience of audiotyping
  • Minimum of 3 years relevant experience preferably gained in a legal or corporate/commercial environment
  • Very strong ability to work as part of a team and to stay calm under pressure
